Position Description: The Director of Administration ensures organizational effectiveness by providing leadership for TRC’s operational and administrative functions. This position is responsible for implementing strategic and long-range plans, and reports for the organization as well as compliance with grants, policies, and procedures. This position manages audits, leads budget development, ensures contract and regulatory compliance, collaborates with contracted services (e.g. accounting, IT) to ensure timely financial reporting, and advances continuous process improvement. The position supervises staff and is a member of TRC’s executive leadership.
Position Type: Exempt; full-time, with some weekends, evening, and holidays required.
Full-time at TRC is 36 hours. We strive to create a structure and maintain staffing so that everyone at TRC can maintain balance and work around 36 hours, this not always possible for members of the leadership team. There are times when the work requires the leadership at TRC to work more than 36 hours.

Roles and Responsibilities
As the Director of Administration, you will be responsible for the following.
Strategy and Planning
- Partners with the Executive Director and Executive Team members on strategic, operational, and administrative issues.
- Oversees long-term budgetary and resource planning in alignment with the organization’s strategic plans.
- Ensures appropriate attention to ongoing financial planning and analysis to monitor the fiscal position and overall health of the organization.
- Plays a significant role in fostering proactive management of the organization, including identifying and leading initiatives geared toward operational excellence.
- Collaborates with Executive Team to align financial management with fundraising goals.
Financial, Compliance, and Operations Management
- Oversees financial management, planning, systems, and controls for the organization.
- Ensures organization of corporate records and documents; monitors contract compliance, ensures timely compliance reporting and billing, ensures maintenance of all financial, contract, grant, and payroll files.
- Reviews payroll and coordinates payroll and HR compliance with TRC’s PEO.
- Ensures the integrity and timeliness of accounting functions by contracted accounting and finance support, including maintenance of the general ledger, AP, AR, financial reporting, balance sheet management, tax reporting, contract compliance, and other required functions.
- Ensures financial records and reports are maintained and filed in compliance with GAAP, granting agencies, funders, and donors.
- Coordinates annual audits (e.g., financial, Workers’ Compensation, insurance, etc.) as needed.
- Leads the budget development process; works with contracted accounting and finance vendor to monitor financial performance; participates in multi-year fiscal planning. Also works with leadership team on regular management of team and organizational budgets.
- Collaborates with development staff to effectively meet the short- and long-term goals of the development plan, and to provide financial and compliance information needed for funding applications.
- Prepares, reviews, and updates documented procedures and processes relating to finance and operations functions; ensures organization-wide understanding and compliance.
- Ensures appropriate levels of internal controls are maintained through regular review of accounting, payroll, account reconciliation activities and filings.
- Oversees the management of all leases, contracts, and other financial commitments.
- Oversees development of policies and procedures relating to the maintenance and protection of physical assets and systems, including compliance with OSHA and ADA requirements relating to building maintenance and facility needs.
- Ensures risk management policies and procedures are in place and in compliance with requirements; provides recommendations for appropriate levels of insurance coverage.
- Ensures procedures and protocols for facility maintenance, equipment usage, and technology systems that comply with all federal, state, and local regulations are in place; ensures that procedures and protocols are clearly communicated, consistently implemented and maintained.
- Ensures adequate technological systems and software are in place and are up to date to safely and securely manage transactional data and processes. Collaborates with IT vendors on these systems.
Management & Supervision of Staff
- Recruits, onboards, and manages staff.
- Provides leadership, coaching, supervision, and support to staff.
General Responsibilities
- Maintains agency forms as required.
- Adheres to agency policies and work rules, including strict adherence to confidentiality policies and code of ethics.
- Attends trainings and continuing education activities as assigned.
- Promotes a welcoming atmosphere of respect and inclusion.

- Bachelor’s degree in business administration, nonprofit management, public administration, finance, or a related field, preferred; though experience in lieu of a degree will be considered.
- Minimum 5 years of progressive experience in nonprofit or government administration, compliance, finance, or operations, including at least 3 years in a leadership role.
- Experience with complex funding streams, e.g. government grants, donor-restricted funds.
- Strong financial management skills, including experience overseeing accounting, budgeting, audits, and fiscal planning in accordance with GAAP and nonprofit compliance standards.
- Experience managing contracts, grants, and compliance requirements for public and private funders.
- Experience coordinating organizational audits and managing compliance with government reporting requirements.
- Knowledge of risk management, insurance, and facilities oversight.
- Experience supervising and developing staff, fostering a collaborative and inclusive work environment.
- Strong project management, organizational, and problem-solving skills, with the ability to prioritize and manage multiple complex tasks.
- Flexibility to meet evolving demands and new challenges
- Excellent communication and interpersonal skills, with the ability to convey financial and operational information clearly to diverse audiences, including non-financial stakeholders.
- Technological proficiency, including familiarity with financial systems, databases, and Microsoft Office Suite; experience working with outsourced vendors.
- Ability to analyze and synthesize large volumes of data and information and present meaningful observations, recommendations, and make the information more accessible.
- Ability to learn and apply complex governmental guidelines related to accounting, personnel, and operations.
- Access to reliable transportation when needed to travel to community locations.
- Nonprofit finance and accounting experience, preferred.
- Bilingual (Spanish) preferred.
- Lived experiences of housing insecurity or court involved processes, particularly eviction, mediation, or the criminal justice system preferred.
