The Tenant Resource Center (TRC) is a nonprofit organization committed to housing justice for all. We help tenants, landlords, and service providers to keep people housed because housing is critical to everyone’s health and well-being.

We are looking for an Office Administrative Associate who wants to use their experience, knowledge, and passion to help make a difference and be a part of this important work. At TRC, you’ll be joining a diverse team of talented, dedicated advocates for housing justice. Our services are all centered on eviction prevention and stable housing, including housing counseling, housing case management, mediation services, eviction diversion, rental assistance, outreach and education, and housing law seminars. TRC also created and manages an eviction defense program in partnership with local housing attorneys. Compensation and Benefits:

$23.50/hour

TRC pays 100% of the monthly premiums for individual and family health, dental, and vision plans. TRC also pays the monthly premium for a long-term disability plan, and offers additional benefits such as a 401(k) plan, short-term disability, and a flexible spending account. TRC offers 18 days a year of paid personal time off (PTO) as well as 11 paid holidays. At TRC, we believe all individuals should be paid fair wages and have access to affordable healthcare. Position Description:

The Office Administrative Associate will be responsible for the organization and maintenance of office operations and procedures, while providing direct support to the Executive Leadership Team. This position plays a critical role in supporting TRC’s mission by ensuring we are operating efficiently, and staff are supported.

Position Type: Full-time (36 hours); Non-Exempt

Hours:  Some flexibility in scheduling available between 8:00-6:00, Monday - Friday

Location: TRC Office, 1202 Williamson Ste 101, Madison, WI 53703

Roles and Responsibilities:

As an Office Administrative Associate with TRC, you will manage and/or assist with:

  • Overall administrative activities for TRC, including: 
    • Purchasing supplies
    • Tracking and organizing supplies and maintaining the main office space so that it is organized and safe. 
    • Provide occasional coverage for the front desk staff.
    • Providing a welcoming, trauma-informed environment that centers cultural humility.
    • Stay up to date on and monitor accessibility of our office and services for our staff and clients. This includes attending continuing education on accessibility services and products, and drafting reports to share with the Executive Project Manager and leadership.
    • Assist with organizing staff engagement activities.
    • Occasional data entry, filing, sorting, and mail distribution.
    • Assisting the Executive Project Manager with TRC’s newsletter, brochures, and other written materials.
  • Outreach and fundraising events, including: 
    • Work with event organizers and staff to ensure our participation goes smoothly and we are prepared for outreach events.
    • Assisting to schedule, organize, prepare for, track, and evaluate outreach efforts.
    • Assisting with the organization, scheduling, and tracking of trainings for staff. 
    • Assisting staff at events when needed.
    •  Assisting the Executive Project Manager with fundraising events, finding opportunities, and drafting proposals.
  • Donations, including:
    • Preparing thank you letters for monetary donations.
    • Maintaining and monitoring donor database for critical communications with constituents.
  • Develop and maintain comprehensive knowledge of TRC’s programs and services, and our partners.
  • Other duties as assigned which may vary based on grant requirements and staffing changes.

  • Experience with or ability to learn about providing accessible resources and services.
  • Excellent organizational skills.
  • Strong attention to detail.
  • Strong interpersonal skills.
  • Ability to work collaboratively and proactively with a team, as well as work independently.
  • Excellent verbal and written communication skills with diverse populations.
  • Proficient in Microsoft Office, Google Suite, Canva, and Excel.
  • Proficient in Social Media Platforms, including posts and videos for Instagram and Facebook.
  • Driver’s license and reliable access to a vehicle with your own personal insurance when needed to travel to community locations.
  • Bi or Multilingual, preferred
  • Lived experiences of housing insecurity or court involved processes, particularly eviction, mediation, or the criminal justice system, preferred.

Essential Skills Required for All TRC Positions:

  • Comfortable working in a fast-paced, dynamic environment.
  • Alignment with Tenant Resource Center core values and mission, including principles of Housing First, Trauma-Informed Care, and Housing as a Human Right.
  • Ability to hold compassion and empathy for all people and desire to provide client-centered care to program participants; requires a high degree of cultural humility.

Physical Requirements:

With or without a reasonable accommodation, the Office Administrative Associate must be able to:

  • Work sitting and/or standing for long periods of time in the office and at other locations in the community
  • Work in an office environment with exposure to fluorescent lighting, potential ink fumes, continuous sounds, contact with synthetic materials, and air conditioning
  • Use a computer for the entire workday
  • Ability to carry up to 20 pounds, including a laptop, outreach materials, and other items

COVID-19 Vaccination Requirement:

TRC employees are required to be fully vaccinated for COVID-19. Under current CDC guidelines, an individual is considered fully vaccinated for COVID-19 two weeks after receiving the single-dose vaccine or two weeks after the second dose in a two-dose vaccination.
