Wage/Salary: $24.50-26 / hour
Position Description:
The Limited Term Administrative Assistant position will fulfill two primary functions: (1) ensuring office management functions are performed efficiently, such as maintaining supplies, performing basic troubleshooting of office equipment, and identifying office administrative needs, and assisting during organization fundraising events; and (2) closely reviewing applications for financial assistance to ensure all necessary information has been provided, communicating with team members to gather additional needed information, and providing other administrative support as part of TRC’s rental assistance program.
Position Type: 36 hours/week, with some flexibility in scheduling available between 8:00 am-6:00 pm, Monday - Friday; Non-Exempt; Limited Term Employment (LTE) through December 31, 2026.
Position Reporting: Reports to Director of Finance and Administration
Location: In-Office; Limited Remote Eligibility
Roles and Responsibilities:
Office and Events Support
- Maintain inventory of office supplies, flyers, and other materials; restock as necessary
- Track employee milestones (birthdays, anniversaries, etc.) and prepare acknowledgements
- Troubleshoot and arrange service on office equipment
- Update office signage about hours, closures, holidays, etc.
- Maintain tech supplies for staff and contact IT support when directed
- Assist with fundraising and other community events as needed
- Perform filing, shredding and basic office maintenance
- Other duties as assigned
Rental Assistance Support
- Closely review completed applications for rental assistance to ensure all needed information has been provided
- Work with TRC staff to gather any missing information
- Other duties as assigned
Qualifications:

- Be trained or able to be trained as an office manager or administrative assistant. Prior experience in office management or executive assistant role preferred.
- Proven organizational and time management skills, including the ability to create, track, and meet deadlines.
- Ability to assess needs effectively and make independent decisions with minimal direction.
- Ability to closely review dense information (including numbers), think critically about whether the information provided is sufficient, spot incorrect or missing data, and determine what additional information is needed.
- Ability to work independently and collaboratively in a hybrid environment, maintaining confidentiality and professionalism with a diverse team.
- Effective interpersonal skills and history of positive working relationships with people of diverse racial/ethnic, socio-economic, and educational backgrounds.
- Experience working with or ability to quickly learn how to use database systems, cloud-based systems, and other computer systems, including Microsoft Office and Google Suite.
- Driver’s license and reliable access to a vehicle with your own personal insurance when needed to travel to community locations.
- Bilingual, multilingual, or bicultural skills, preferred.

Physical Requirements:
With or without a reasonable accommodation, this role must be able to:
- Work sitting and/or standing for long periods of time in the office and at other locations in the community
- Work in a busy office environment with exposure to loud noises, fluorescent lighting, potential ink fumes, contact with synthetic materials, and air conditioning
- Use a computer for the entire workday
- Carry up to 20 pounds, including a laptop, outreach materials, and other items
COVID Vaccination Requirement:
TRC employees are required to be fully vaccinated for COVID. Under current CDC guidelines, an individual is considered fully vaccinated for COVID two weeks after receiving the single-dose vaccine or two weeks after the second dose in a two-dose vaccination.
